Thinking About Renting a Tent? Please Read This First

To safely install a tent, there are a few important site requirements to be aware of before booking.

Underground Utility Locates Are Required

All underground utilities must be clearly marked before tent installation. This includes hydro, gas, irrigation, invisible fences, septic systems, and any private lines.

Most tent installations require large stakes driven up to 42–48 inches into the ground.

Customers are responsible for ensuring all underground utilities and private lines are properly located and marked prior to tent installation.

We recommend arranging locates at least 7–10 days prior to your setup date.

Ontario One Call (Public Utility Locates)

Ontario One Call provides free public utility locates for:

  • Hydro

  • Gas

  • Communications lines

Private Utility Locates

Some underground lines may not be covered through Ontario One Call, including:

  • Private hydro lines

  • Irrigation systems

  • Invisible dog fences

  • Septic systems

  • Landscape lighting

For private locates, customers can contact a private locate company such as:

Tent Surface Requirements

Most tents require staking into grass, gravel, or asphalt.

For asphalt installations, we pre-drill anchor holes and plug them after removal. Customers must approve this beforehand.

We are unable to stake into:

  • Concrete

  • Interlock

  • Areas with underground obstructions

If staking is not possible, water barrel anchoring may be available depending on the tent size and setup area.

Space Requirements

Please ensure the setup area is:

  • Relatively level

  • Clear of vehicles, debris, branches, and pet waste

  • Accessible for installation equipment

  • Large enough for the tent plus staking area around the perimeter

Trees & Overhead Obstacles

Tent areas should be clear of:

  • Low hanging branches

  • Power lines

  • Overhead wires

  • Sharp branches that could damage the tent

Weather & Safety

Tents are temporary structures and should not be occupied during severe weather or high winds.

For safety reasons, Everwillow Event Rentals reserves the right to delay or modify installations if weather or site conditions are unsafe.

Everwillow Event Rentals is not responsible for damage to unmarked underground utilities, lines, irrigation systems, or underground obstructions.
